PPAVI
Privacy Policy
Effective 14 October 2026
Perhimpunan Pimpinan Akademi Vokasi Indonesia (PPAVI) operates ppavi.or.id, including member profiles, research services, and conference services. This policy explains what information we receive, how we use and share it, and your choices.
Information we handle
- Account and profile information, such as name, email, phone, institution, academic identifiers, and membership information you provide or that is synchronized from official academic sources.
- Activity information, including registrations, attendance, abstracts and papers, authors, supervisors, presentation material, comments, editorial reviews, certificates, and correspondence.
- Transaction information, including invoices, payment status and references, receipts, and refund-transfer details where applicable.
- Technical information, such as session cookies, IP addresses and security logs, and visit statistics through Google Analytics.
Published directory profiles and presentations may be visible to the public, including names, affiliations, titles, abstracts, and approved media. Private editorial notes and payment details are not displayed as public content.
Google Sign-In, Drive, and YouTube
If you sign in with Google, PPAVI receives the basic profile and email information you authorize for account authentication. Conference video processing uses the organizer's authorized Google account; ordinary participants are not asked to connect their Drive accounts. The drive.readonly permission technically permits reading and downloading files in the authorizing Google account; PPAVI uses it only to retrieve videos from selected Drive file or folder links submitted for conference presentations. The youtube.upload permission is used to upload those videos to the organizer's YouTube channel.
The system may read the selected video's name, type, size, and contents; download it temporarily to the server; and upload the video with its presentation title, code, and author description to YouTube. Uploads are normally unlisted, but anyone with the link can watch them. We retain the source URL, YouTube URL/ID, job status, and processing logs for management. The organizer's authorization token is stored with restricted access. Temporary downloads are deleted after normal processing; published material remains subject to YouTube settings and the conference publication schedule.
We do not sell data obtained through Google APIs, use it for targeted advertising, or use it to train general-purpose AI models. Human access to Google files is limited to access you authorize, security, troubleshooting, or legal needs. PPAVI's use of Google data follows the Google API Services User Data Policy, including its Limited Use requirements.
Purposes and recipients
We use information to manage accounts and academic services, process registrations and payments, run conference review and programs, send notices, protect the service, and improve it. Necessary data may be processed by hosting, email, AiYO payment, Google, and other providers supporting these functions. If you use AI-assisted drafting or translation, the text being processed may be sent to the configured AI provider. Providers may process information outside Indonesia as part of their services.
Retention, security, and your choices
We keep information as needed to operate the service, maintain conference and transaction records, resolve disputes, and meet applicable obligations. Administrative access is role-restricted. No system is risk-free; contact us to report a security concern or to request access to, correction of, or deletion of information we control. Some published records or records we must retain may not be removed immediately.
You can manage cookies in your browser and revoke Google permissions in your Google Account settings. Revocation may stop features that depend on those permissions; contact us to request review or deletion of information already processed by PPAVI.
