Conference Workflow Guide

The 1st PPAVI Student Research and Vocational Conference 2026

Use this guide to complete registration, payment, abstract review, and presentation publication.

Workflow Overview

The 1st PPAVI Student Research and Vocational Conference 2026 is managed as an asynchronous student conference. Participants register once for the conference, then create one or more submissions. Oral or poster presentation type is selected per submission, not during registration.

1. Sign In or Start Registration

Participants may sign in with an existing PPAVI account, use Google sign-in when available, create a new PPAVI account, or continue through the guest registration flow. Guest participants must keep the private registration link sent by email because it is used to return to their conference dashboard.

2. Register for the Conference

Choose the appropriate participation role. Author/Presenter registration enables abstract submission. Attendee registration is used for participants who need attendance access or certificates without submitting a paper. A logged-in user should register only once for the same conference; returning users are directed to My Conferences.

3. Submit One or More Abstracts

Each abstract submission is created separately. For every submission, choose the symposium, track, selected topic, presentation type, title, authors, supervisor, affiliation, keywords, and abstract. Multiple submissions are allowed when the conference policy and fees permit it.

4. Submission Fee and Invoice

Presenter fees are billed per submission when applicable. If a participant submits more than one abstract, each submission can generate its own invoice line, including any managed discount for second or additional submissions. Unpaid items remain visible as invoices; paid items show receipt access.

5. Abstract Review and Decision

The committee reviews each submission independently. Possible states include submitted, under review, revision required, accepted, or rejected. When revision is required, the presenter should update the submission before the announced deadline.

6. Upload Presentation Material

After a submission is accepted and the required submission payment is paid or waived, the presenter may upload presentation material. Oral asynchronous presentation uses a public video URL, such as YouTube. Poster presentation uses a poster image file. Poster files follow the same image treatment policy: extension and size validation, optimized resize, safe rename, and WebP conversion where supported.

7. Public Presentation Page

Accepted and eligible submissions with presentation material can appear in the public symposium pages and program book. Public pages may show the title, abstract, authors, supervisor, affiliation, keywords, views, likes, ratings, and comments according to platform settings.

8. Full Paper Submission and APC

When the full paper period opens, eligible presenters may upload the full paper from My Conferences. If a Full Paper APC is configured, the APC invoice is created for the selected submission. Full paper APC payment is separate from the earlier submission fee unless the conference fee policy states otherwise.

9. Editorial and Proceedings Workflow

Full papers proceed through technical screening, editorial review, revision when required, copyediting, layout, author confirmation, and final publication. Accepted papers are planned for the PPAVI Conference Proceedings Series, and selected papers may be recommended to PPAVI member journals.

10. Certificates and Records

Presentation and attendance certificates are issued according to conference policy. Participants should use My Conferences to monitor registration status, submission status, invoices, receipts, presentation material, full paper/APC status, certificates, and publication progress.

Important Notes

  • Registration is done once per conference; presentation type is selected per submission.
  • One participant may have multiple submissions when allowed.
  • Payment status affects access to presentation upload, receipt, and later publication workflow.
  • Guest participants should not lose the private email link.
  • Use the official conference dashboard for the most reliable status information.
